  • Triage against your list, at 6pm and 3am. The agent asks where the water is coming from, whether it is still running, whether the unit below is wet, then matches them to your list: what wakes someone, what waits, whose cost a clogged drain is. Anything undecided goes to a person as urgent.
  • Dispatch to the on-call phone. It rings the on-call tech and, on no answer inside your window, the next name, who already has the unit, the buzzer code, the callback number and what the tenant said.
  • The work order in your platform, on the call. Created against the unit and the tenant, tagged after-hours, with the agent's summary and classification attached; the recording goes to your team's channel. Per-platform wiring is on Buildium automation.
  • The morning queue, sorted. The Friday night drip is told when the office opens and waits its turn, callback number logged. At 8am your coordinator finds the night sorted, each call with the rule that decided it.

Why the window is worth covering.

On one property management line, after hours was a small share of the calls and a large share of the emergencies.

On the Toronto property management line the agent runs, every call is counted. From 1 June to 10 September 2026: 2,142 calls, 12.7% of them outside Monday to Friday, nine to six, and that window held 41% of the calls tagged as emergencies, 24.0% of after-hours calls against 5.0% in business hours. The 65% figure vendors quote has no source; the post traces it to a page that states it bare. Nights were nearly empty, 21 calls between 10pm and 7am across both lines. The case is risk density, whatever your volume.

Is recording tenant calls legal in Ontario? Yes, with the caller told: the agent says the call is recorded and why, the retention period is written in, and follow-up texts and emails carry CASL consent and unsubscribe.

How long until it is live? The audit takes two weeks and a voice build four to ten, tested against your real call patterns before the agent takes a call alone. The slow part is writing the list with you.
