What we wire into Buildium.
Six workflows, each with a trigger, an action, and a named human gate. Built on Buildium's Open API and webhooks, not on email parsing that breaks in the dark.
- Maintenance intake to approved work order. A request arrives by phone, portal, or email. The system asks the follow up questions a good coordinator would ask, matches the unit and tenant in Buildium, classifies urgency under your rules, and drafts the work order with everything captured. Your coordinator approves before anyone is dispatched, and a genuine emergency rings the on call phone instead of waiting for morning.
- After hours calls that end up in Buildium. The phone rings at 11pm, a voice agent answers, triages by your escalation rules, and the call becomes a documented Buildium task before the caller has hung up. Real emergencies escalate to a person immediately; the phone layer is its own discipline, covered on our property management answering service page. In a production sample at the Toronto property management and brokerage operation we run this wiring for, 74 of 277 calls came in after hours, the volume voicemail used to absorb.
- Leasing inquiry capture and follow up. An inquiry comes in from a listing, a form, or the phone. The system answers in minutes, qualifies against your criteria, writes the prospect into your records, and follows up until they book a showing or say no. The application decision stays with your leasing person, every time.
- Owner reporting, assembled rather than authored. A work order closes, or month end arrives. The system pulls what happened from Buildium, what was done, who did it, when, and at what cost, and assembles the owner update as a draft. A person reads it before it goes out.
- Rent cycle exception flags. During rent week, a scheduled sync reads the ledgers and flags the exceptions: the unpaid, the partial, the tenant whose pattern changed. The system assembles the list with history attached and drafts the first polite reminder. A person reviews every flag before anything reaches a tenant, and formal notices and legal steps stay human work entirely.
- Vendor chase loop. A work order sits past the threshold you set with no vendor update, and the system starts the chase: a nudge, a request for an ETA, a completion confirmation, the invoice. Every reply lands back in Buildium against the work order. Reassigning the job or approving a changed cost stays with your coordinator.
What is native, what the API supports, what stays human.
An honest Buildium automation plan starts with what not to pay for.
Start with what you should not buy from us. Buildium ships its own AI suite, Lumina AI: bill scanning, drafting help, summarization, an assistant, and a workforce of agents covering maintenance, leasing, accounting, resident experience, and operations. Buildium states that all available Lumina AI features are included with its Premium plan. If a native feature or a Marketplace app already does the job, the audit says turn it on, and that line item costs you nothing.
The layer most operators never wire is the Open API. It supports webhooks that fire when a record changes, read and write access to work orders, leases, tenants, and accounting data, and scheduled syncs to the systems Buildium does not reach: your phone line, your inbox, your CRM. That is where the six workflows above live, and it is not hypothetical for us. We run this wiring in production for a Toronto property management and brokerage operation, webhooks, lease data, and work orders included.
The third category does not get automated at all. Approvals, tenant decisions, anything that moves money, and anything that touches a legal process stay with a named person, and every automated action is logged where that person can read it. In Ontario that line is not optional: intake, drafting, and tracking automate, while judgment and legal steps do not. A firm that will not draw that line for you is selling you exposure.
Who this is for.
- Buildium operators at growth scale. Where the doors are adding calls faster than the office can hire, and the plan is already Growth or Premium because the volume forced it.
- Teams burned by middleware. Where somebody already tried the Zapier workaround or the email parser, it broke quietly, and the trust in automation went with it. The fix is building on the API that was designed to be built on.
- Operations losing the after hours war. Where the calls that matter most arrive when the office is dark, and the current answer is voicemail. Pair this page with the answering service and the whole intake problem closes at once.
- Who this is not for: small portfolios on Essential. If your volume is low and your plan is Essential, Lumina AI plus a Marketplace app is probably all you need, and the discovery call will tell you that for free. The Open API needs Premium, and we will not talk you into an upgrade the math does not support.
Questions, answered straight
Does Buildium have built in AI? Yes. Buildium's Lumina AI suite includes AI Bill Scan, Write with AI, AI Summarization, an AI Assistant, and a set of AI Workforce agents for maintenance, leasing, accounting, resident experience, and operations. Buildium states all available Lumina AI features are included with its Premium plan. Part of our audit is separating what those already cover from what still needs custom wiring, so you do not pay us for a feature you own.
What can you actually automate in Buildium? Through the Open API and webhooks: maintenance intake into work orders, after hours call capture, leasing inquiry follow up, owner report assembly, rent cycle exception flags, and vendor chasing. The pattern underneath is the same in every case. Intake, documentation, syncing, and chasing automate, while approvals and decisions about people or money stay human.
Do I need Buildium's Open API, and which plan includes it? For the deep wiring, yes. Buildium's Open API is included with the Premium plan, which Buildium's published pricing lists at $400 a month and up. If you are on Essential or Growth we can still take real work off the phone and the inbox, and we will tell you honestly whether the upgrade pays for itself at your door count.
Does Buildium work with Zapier? There is no official Buildium app in Zapier's directory as we write this. The workarounds people build instead, email parsing and webhook catchers, are the automations that break quietly and get discovered weeks later. The durable route is the Open API, which is exactly why we build there.
What does Buildium automation cost? Our audit runs $3,000 to $5,000 and tells you which workflows are worth building. A single system built end to end runs $8,000 to $15,000, and work spanning several systems runs $15,000 to $30,000, with voice agents at a setup fee then about $1,000 a month. Will this break when Buildium updates? Something on the other end always changes. That is why every build has a monthly operate fee: we monitor what is running, fix what changed before you notice, and ship something new every month instead of waiting for a ticket. A Buildium integration sold as set and forget is the one that fails silently.
Will this replace our coordinators? No, and we do not take on engagements whose purpose is cutting headcount. The point of wiring Buildium properly is that your coordinators stop being the integration layer between the phone, the inbox, and the platform, and go back to managing properties. AI should give people back their time, not take their jobs.
