A message is not an outcome.

The product of a traditional answering service is a message. The product of this one is a completed intake.

Here is the distinction that matters when you compare quotes. When a live service answers your line, the call becomes a text or an email in a queue. Somebody on your team still reads it, decides how urgent it is, chases the missing details, and types it into the platform. The answering happened; the intake did not. What we build moves that whole sequence into the call: the judgment is encoded ahead of time in your rules, and the data entry is finished by the time the caller hangs up.

That is where the production numbers on this page come from. In a June sample at a Toronto property management and brokerage operation, the agent answered 277 calls and missed none. 74 of the 277 arrived after hours. Sit with that ratio for a second, because it is the honest case for this entire category: the phone does not respect business hours, and the traditional fixes are either a voicemail box or a person pretending not to be asleep.

The same operation's CRM tells the rest. In a two week window, July 8 to 22, 2026, 34 of the 130 new leads created arrived through the phone agent. That is 26 percent of new leads and the second largest lead source in the system. We frame that as a share of where leads came from, not as a lift, because there is no clean pre deployment baseline to compare against. It still shows something a message pad cannot: calls that used to end in voicemail now end in a lead record with a callback number.

None of it works without your rules written down first, which is why the engagement starts there. What counts as an emergency, who gets woken for what, whose cost a clogged drain is, what happens on a lockout. A human operator can wing those calls, inconsistently. A system cannot wing them, and that constraint turns out to be the feature: it forces the operation to decide its policy once, on purpose, instead of at 3am.

Who this is for, and who it is not.

  • Operators paying a live answering service today. You already believe the phone must be answered. The open question is whether a relayed message is worth the per minute meter, and why the retyping still exists. This is the direct upgrade path, and switching costs are low because your escalation rules already exist.
  • Teams where after hours means someone's cell. The on call rotation burns people out, and the good ones eventually leave over it. The agent takes the nights and weekends, and the on call phone only rings when your rules say a human is genuinely needed.
  • Portfolios where prospects call after work. Leasing calls concentrate in the hours the office is closed. If the first answered call wins the tenant, the operator with real intake at 7pm wins more of them, and the lead exists in the CRM instead of in a voicemail nobody returns until Monday.
  • Who it is not for. A portfolio getting a handful of calls a week does not need a build. A basic answering plan or a disciplined voicemail workflow costs less and covers it. If that is your situation, we will say so on the discovery call instead of selling you this.

Questions, answered straight

How is this different from a human answering service? A live service answers with a person reading your script, then sends your team a message. The judgment about severity, the follow up questions, and the entry into your platform still happen in your office the next morning. This system does that work during the call: it triages by your written rules, creates the work order or lead record itself, and escalates in the moment when your rules say so. You get an outcome to review, not a message to process.

What happens with a genuine emergency at 2am? Your rule runs, exactly as written. If your policy says a burst pipe or no heat in February rings the on call phone immediately, that is what happens, and the call, the classification, and the dispatch are all logged so you can audit the decision in the morning. What it never does is improvise. A situation your rules do not cover gets treated as urgent and escalated to a person rather than guessed at.

Can tenants tell they are talking to an AI, and what if someone insists on a human? They can, because it says so. The agent identifies itself and does not imitate a person. In practice most callers stop caring the moment the problem is clearly moving. For callers who want a person anyway, that is an escalation path you define like any other: a transfer to the on call phone, or a callback from your team, captured with the number and the context either way.

Does it work with Buildium or AppFolio? Yes, and the connection is most of the value, because an answered call that never reaches the platform is just a better voicemail. What does it cost? Voice agents are a setup fee, then about $1,000 a month to operate. That figure is published in our rate card along with every other price we charge, and the monthly covers operation and iteration, not just uptime. There are also running costs, telephony and model usage, which we quote separately before you sign. A live service billing per call can be cheaper at very low volume, and when that is true for you, we will say so.

How long does setup take? Most of the setup is not technical. It is getting your escalation rules and policies written down precisely enough to automate, and we do that part with you. From there it follows our published process: a short audit, a fixed scope build measured in weeks, then the agent goes live and we operate it. We do not sell a same week launch, because the rules step is the one nobody should rush.

Will this replace our coordinator or the after hours person? No, and we would not take the engagement if that were the goal. We do not build systems whose purpose is cutting headcount. What this ends is the 2am shift: your coordinator keeps the job, loses the nights, and spends office hours on the work that actually needs their judgment.
